This Privacy Policy explains how AI Form Filler, operated by AIVANI COMPANY LIMITED, collects, uses, and protects information when you use the AI Form Filler mobile application and related support pages.

1. Information we collect

• Account and contact information. If you contact support or purchase a subscription, we may receive your email address and purchase-related information.
• Form and document data. When you scan or upload forms, images, PDFs, and related content may be processed to analyze fields, extract information, and help autofill your forms. This includes rental applications, job applications, tax forms, insurance claims, government paperwork, medical forms, and any other document you choose to scan.
• Usage information. We may collect technical and usage information such as app version, device type, language settings, feature usage, and anonymous identifiers used to manage free usage limits and app functionality.
• User profile information. If you choose to save profile details (such as name, address, phone number) for reuse in forms, those details are stored locally on your device and in your secure cloud account to help prefill future forms.

2. How we use information

• Provide, maintain, and improve AI Form Filler.
• Analyze uploaded documents and forms using AI-enabled processing (Google Gemini).
• Support autofill, saved profile features, form session history, and subscription features.
• Detect misuse, enforce limits, prevent fraud, and maintain service integrity.
• Respond to support requests and operational communications.

3. AI and document processing

AI Form Filler uses third-party AI services (including Google Gemini) to analyze uploaded or scanned forms. Form images are sent to these services for field extraction and analysis. Do not upload documents containing information you are not authorized to share. You are responsible for the content you submit through the app.

4. Camera and microphone

AI Form Filler requests camera access to scan paper forms, microphone access for voice input, and speech recognition access to convert voice to text. These features are used only when you actively initiate them. Camera and microphone data is not recorded or stored beyond the immediate processing of your form.

5. Sharing of information

We do not sell your personal information. We may share information with service providers that help us operate the app, including:

• Convex (database and backend infrastructure)
• Google (AI document analysis via Gemini)
• Apple (subscription management via App Store)
• Vercel (website hosting)

Information is shared strictly for service delivery and operations.

6. Data retention

Form session data is retained in your account until you delete it. We retain other information for as long as reasonably necessary to provide the service, comply with legal obligations, resolve disputes, and enforce agreements. You may delete individual form sessions within the app or contact us to request full account data deletion.

7. Security

We use reasonable administrative, technical, and organizational measures to protect information, including encrypted data transmission and secure cloud storage. No system is perfectly secure, so we cannot guarantee absolute security.

8. Children's privacy

AI Form Filler is not intended for children under 13. We do not knowingly collect personal information from children. If you believe a child has provided personal information, contact us and we will promptly delete it.

9. International use

AI Form Filler supports 14 languages and is available internationally. Your information may be processed in countries other than your own, depending on where our service providers operate. By using the app, you consent to this transfer.

10. Your choices

• You can stop using the app at any time.
• You can delete individual form sessions from the Sessions tab.
• You can clear your saved profile from the Profile screen.
• You can contact us to request full data deletion.
• You can manage or cancel subscriptions through Apple App Store settings.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will notify you of material changes by updating the "Last updated" date at the top of this page.
